Conference & Exhibition Transport: From Headcount to On-Site Dispatch

A working method for event ground transport: quantify the demand, mix vehicle types, hold contingency, and close with a report that reconciles itself.

Event transport failures are almost always planning failures: unclear headcounts, one-size-fits-all vehicles, no contingency. This is the method we use for conferences and exhibitions — built so corporate and event teams can reuse it directly.

Step 1: turn the requirement into numbers

Step 2: mix vehicle types instead of defaulting to coaches

A 55-seat coach is not the universal answer. A mature plan is a mixed fleet: sedans for VIPs, 7-seat MPVs for scattered arrivals, 19–23-seat midibuses for small groups, 33–55-seat coaches for the peaks — one booking, one dispatch for all of it.

Step 3: leave room for what goes wrong

Step 4: make the money legible

Customised itinerary reports per client requirement: which vehicle, whom it collected, when it arrived, what it cost — clear expenses, controllable cost, reconcilable the day the event ends.

Lead time

Please share your transport requirement at least one week ahead; we will align on the schedule and produce a written transport plan. Large events get on-site operations staff running the dispatch throughout. Multi-city roadshows are covered under the same agreement across 60+ cities.
